CFI is hiring a Director of Operations
/ABOUT US:
The Charitable Foundation of the Island’s (CFI) mission is to inspire philanthropy, leadership, and collaboration for the vitality of the Island community. We are located on the Islands of Sanibel and Captiva for the last eleven years as a 501©(3) public grant-making charity.
The Director of Operations will be the second full-time staff member for this growing and maturing organization, reporting directly to the Executive Director. He/she is responsible for organizing and overseeing the daily operations of CFI for future growth and long-term success. The Director of Operations plays a critical role in supporting the Executive Director and helping the CFI Board of Directors and respective committees run smoothly and efficiently.
The Director of Operations must be able to effectively represent CFI to the public and act as a liaison between CFI and the public, donors, volunteers, the Executive Director, and the agencies and institutions working in charitable giving and non-profit collaboration.
PREFERRED QUALIFICATIONS:
Knowledge, Skills & Abilities:
Bachelor’s degree or two years equivalent experience in a like or similar position.
Excellent organizational skills and an ability to complete simultaneous projects within deadlines.
In-depth knowledge of diverse business functions and principles.
Proficiency in PowerPoint, Outlook, Word, QuickBooks, and Excel.
Must have a valid driver's license and reliable transportation.
Ability to always maintain confidentiality and discretion.
Must be able to lift 10 lbs. and stand for short periods.
Responsibilities:
-Support the administrative needs of the organization and Executive Director, which includes:
-Plan and monitor the daily operations of the business.
-Evaluate and make recommendations to improve business procedures, policies, and strategy.
-Revise and formulate policies and promote their implementation.
-Manage procurement processes and coordinate material and resource allocation.
-Answer office phones, direct calls, and emails, ensuring CFI is represented professionally.
-Posts payables and receivables to accounting software from invoices, cash receipts, vendor invoices, and reconciled accounts. Generate reports and financial transactions.
-Handle all bank deposits.
-Assist in reviewing financial information and provide input for improving the operational budget.
-Coordinate the completion of monthly statements and 990 filings.
-Process biweekly payroll, including maintaining payroll records and entering payroll into QuickBooks.
-Manage relationships/agreements with external partners/vendors.
-Collaborate with the Executive Director to ensure that CFI conforms with established city, county, and statewide regulations.
-Oversee management of CFI’s primary email and telephone system and IT-related functions.
-Collect, review, and distribute CFI’s mail, including post office transactions.
-Assist in the creation of a monthly newsletter, including content.
-Assist with all aspects of internal and external event planning, management, and logistics, including meeting with vendors and clients and determining and arranging the location, food, entertainment etc.
-Maintain an up-to-date donor list in the CRM database. Sends gift acknowledgment to donors. Process grant requests from donor-advised fund holders and ensure files are maintained.
-Assist the Executive Director in community outreach and engagement activities, including distribution of press releases, attendance at community events, and coordinating monthly meetings with nonprofit partners.
-Assist CFI Board of Directors in smooth operations including taking of meeting minutes, scheduling committee meetings, and overseeing calendar.
-Other duties as assigned and in collaboration with the Executive Director.
Position classification – Exempt, Full-Time
The Salary range is $45,000-$50,000 plus health insurance allowance, three weeks paid time off, eight paid holidays, and Summer Fridays (June-August).
Flexible work arrangements will be considered for the right candidate. Occasional work on evenings or weekends for special projects as needed. The office is temporarily located in Fort Myers, and occasional travel to Sanibel and Captiva is expected. Toll and mileage reimbursement will be provided.
